Our 4 Stage Process
The following methodology information provides a summary of our
shredding and destruction process for confidential paper waste.
Stage 1 - Collection (Or Drop-Off)
Clients can choose to either receive a collection of their confidential paper waste by Microcopy or arrange via themselves or a third party for their confidential paper waste off to be dropped off at our processing facility. Guidance for either method is outlined below;
Collection (s)
- All collections are arranged in advance (where possible) via contacting us to arrange a date and and estimated time of collection
- Collections can be arranged during normal working hours of Monday to Friday 9 am to 5 pm (Weekend collections are not currently provided)
- Customers are provided in advance large white nylon sacks to place their confidential paper waste. The white material stops the documents instead being visible. When full to the recommended level, the sack is tied up using the also supplied cable ties. The cable tie is a non-reusable design meaning that once locked into the final tightened position, it cannot be un-tightened which aids security and prevents tampering.
- All collections are arranged in advance (where possible) via contacting us to arrange a date and and estimated time of collection
- Collections can be arranged during normal working hours of Monday to Friday 9 am to 5 pm (Weekend collections are not currently provided)
- Each sack has a code written on the base of the bag which is unique to the customer and identifies them plus the bag. This aids the pre-destruction handling and processing.
- On collecting the sacks from the customer, a collection note is generated which is to be signed on removal of all the full sacks. It will state the number of sacks collected from this collection and confirm the transfer of the waste in to our care.
- The collection note will include the customers address, date of issue and a project reference number which identifies the collection. It will be quoted on all future paper work generated during the destruction process.
- Collections are carried out solely by your own employees and not a third party
- All transport used to carry the waste to our processing facility is of the appropriate nature such as being a commercial vehicle suitable for the task to be carried out
- The collection note will include the customers address, date of issue and a project reference number which identifies the collection. It will be quoted on all future paper work generated during the destruction process.
- All transport used to carry the waste to our processing facility is of the appropriate nature such as being a commercial vehicle suitable for the task to be carried
- The rear doors of the van are locked on leaving the customer premises and will not be reopened until back our processing facility, further they are tracked and carry sufficient fuel for the return journey.
- Customers can also supply their confidential paper waste in other appropriate receptacles such as plastic bin liners, archive boxes, boxes, or plastic. The customer is advised to ensure that the documents within them are secure for transit.
Drop Off To Microcopy
- Customers who wish to deliver their waste to us directly or via their own appointed transport provider (such as a courier service / third party agent) can do so by arranging in advance a suitable date and time to visit our processing facility
- Drop offs not arranged in advance may be rejected on arrival if unloading and processing cannot be carried out such as if another drop off is taking place or poses a security risk to data being handled or processed at that given time.
- Drop offs can be arranged during our normal working hours of Monday to Friday 9 am to 5pm (Weekend drop offs are not currently available)
- Confidential paper waste should be brought to site in suitable receptacle such as archive box, plastic container, plastic bin liner or nylon sack. If loose confidential paper work is present, a receptacle can be provided although we reserve the right to charge for any additional equipment or tools supplied to complete a processor meet our guidelines
- On receipt of a dropoff, a delivery note / controlled waste transfer note is generated which is to be signed when the dropoff is complete. It will state the number of boxes / containers / bags dropped off this delivery and confirm the transfer of the waste in to our care. The delivery note / controlled waste transfer note will include the customers address, date of issue and a project reference number which identifies the delivery specifically. It will be quoted on all future paper work generated during the destruction process
- Any additional paperwork supplied by the customer or acting agent will also be completed
Stage 2 - Pre-Destruction Process
- All collections made by Microcopy are returned to our processing facility
- On return, the contents of the vehicle are placed within our secure handling area. If more than one customer collection has been made, sacks will be grouped together using the identification system mentioned instage 1
- Once un-loaded, the total number of sacks of confidential paper is recounted (to ensure it matches the original collection note) and then the waste is weighed with the weight of each sack recorded on a log sheet
- On completion of weighing, the customers confidential paper waste is moved into the destruction area
- If confidential paper waste is brought to site by the customer themselves or via a third-party agent, the same process of sorting will be applied as above
- We operate a policy where only one collection or dropoff is processed at any one time. Therefore, we operate a booked time system to ensure that confidential paper waste is handled securely and within our guidance
- Should two or more collections / dropoffs be ready for unloading at the same time, awaiting system is applied based on a first come first served basis
- Unloading can only happen in a clear holding area, free from any confidential paper waste
- The holding area is operated solely by BDM ArcScan. Visitors to site with their delivery are permitted to aid unloading but will not be allowed to carry out any further processes
- Customers or third-party agents are only permitted to access the holding area of our facility and will not be allowed to access any other area of our processing facility other than our reception / waiting area
Stage 3 - Destruction
- Once stage two has been completed, the confidential paper waste is then made ready for destruction / shredding
- Only our Enhanced level vetted staff are permitted to access this area and handle the confidential paper waste from this point onwards
- Each customers sack (or other receptacle) is emptied into a purpose built metal cage
- Once the metal cage is full, it is covered in packaging film to prevent any waste escaping the container and its made ready for moving to the destruction machine
- To aid the security of our processing, the container is filled / mixed with other confidential paper waste from other customers / projects aswell
- Once at the destruction machine, the container is lifted, and the contents tipped into the destruction machine. The machine will then shred the emptied contents to produce shredded paper waste which is compacted into a further container below it. Once shredded, the material can not be reconstituted to make the original document(s)
- Once this container is full, the contents are baled and securely strapped to await collection for recycling by a papermill. They will pulp the shredded paper to make products such as hand towels and toilet tissue
- Other items present in the paper waste such as paperclips, staples etc… are filtered out during the destruction process to minimise contamination of the shredded paper product
- The original container is checked for any loose confidential paper waste not emptied into the destruction machine. If any is found, it is removed by hand and placed directly into the destruction machine. Containers are not permitted for re-use until they are free from any confidential paperwaste
- Any nylon sacks provided by Microcopy will be re-used when emptied for the same customer for their next collection. Other receptacles such as archive boxes, binliners and containers used or dropped off can either be re-collected at the customers own expense or they will be recycled, if applicable
Stage 4 - Confirmation Of Destruction
Once all the confidential paper waste is destroyed, the customer will be issued with a certificate of destruction which will list;
- Their name and company details
- Our project references
- The collection / drop off date
- How many sacks were destroyed
- Date/period of destruction
- Total weight of confidential paper waste destroyed
